Job description

Job Title: School Administrator
Location: Liverpool
Contract Type: Full-Time, Term Time Only
Salary: Competitive, dependent on experience

A dynamic and nurturing secondary SEMH school in Liverpool is seeking a dedicated and organised School Administrator to join their supportive team. This is a vital front-facing role that supports the smooth running of the school office and contributes to the wellbeing and success of pupils and staff alike.

Key Responsibilities:

  • Act as the first point of contact for visitors, providing a warm and professional welcome, managing sign-ins, and directing enquiries appropriately.
  • Handle routine telephone and face-to-face enquiries with efficiency and discretion.
  • Monitor pupil attendance and input data into Arbor, liaising with the Education Welfare Officer (EWO) as required.
  • Provide general clerical support including document typing, photocopying, filing, and use of various ICT packages and office equipment.
  • Ensure timely communication with parents via ParentMail and other channels.
  • Maintain accurate manual and digital records using systems such as Arbor, InVentry, CPOMS, and FMS.
  • Produce reports, lists, and data as requested by senior staff.
  • Support monthly ADHD clinics in collaboration with the Headteacher and Alder Hey.
  • Uphold GDPR and safeguarding standards, maintaining confidentiality at all times.
  • Offer general advice and guidance to staff, pupils, and visitors.
  • Manage supplies including stationery, first aid kits, paper, and water.
  • Assist with pupil welfare, including first aid and liaising with parents and staff.
  • Record daily meal numbers and communicate with kitchen staff.
  • Keep pupil files up to date, manage new admissions, and support EHCP documentation.
  • Liaise with SEN transport providers to ensure smooth pupil travel arrangements.
  • Attend relevant training and undertake additional administrative duties as required.
  • Support the Office Manager in maintaining an organised and efficient office environment.

Person Specification:

The ideal candidate will be:

  • Experienced in administrative work, preferably within an educational setting.
  • Proficient in using school systems such as Arbor, CPOMS, and ParentMail.
  • Friendly, approachable, and able to communicate effectively with a wide range of stakeholders.
  • Highly organised with excellent attention to detail.
  • Able to work independently and as part of a team.
  • Committed to safeguarding and confidentiality.

All pay rates quoted will be inclusive of 12.07% statutory holiday pay. This advert is for a temporary position. In some cases, the option to make this role permanent may become available at a later date.
